Here’s the thing though…you don’t need a magazine assignment to pull an Andie Anderson on your subscriber list. Most businesses are doing it completely by accident, with total sincerity, thinking they’re being a good, attentive, likable presence in someone’s inbox.

Meanwhile the subscriber is quietly backing toward the door the way Ben did every time Andie was being “crazy”.

Here’s the other thing. It’s almost never the writing. I subscribe to so many founders with brilliant things to say.

It’s the five things happening around the writing, the equivalent of the dead fern and the uninvited poker-night appearance, that quietly convince someone to swipe left on a business they actually liked.

The five ways you’re Andie-ing your list

Mistake one: no photos of you.

If a new subscriber can’t picture the human on the other end of the email, especially in that first welcome sequence, there’s no one to build a crush on. Logos, illustrations scraped from google and stock photos are a stranger at the door. A real, well-lit photo of an actual person is the person actually answering the email so introduce yourself!

Mistake two: the wall of text.

This is the group-hang monologue. No hierarchy, no white space, no clear place to jump in, just paragraph after paragraph asking the reader to keep up. Your subscriber tunes out around the third unbroken paragraph.

Mistake three: not built for mobile.

Text running edge to edge, a skinny column that forces sideways scrolling, links so faint you’d need editor instincts to spot them...Oh my! Most of your list is reading you on a phone, standing in a kitchen, half paying attention.

If it’s uncomfortable to read there, it gets the same fate as that dying love fern: closed, deleted, never spoken of again.

Mistake four: an identity crisis.

The email doesn’t sound, look, or feel like the same person your subscriber followed on Instagram or found on your website. It’s the equivalent of Andie showing up as three different women depending on the assignment: aloof at the restaurant, cool at the Mets game, a complete psycho by poker night. Every mismatch costs a little trust, because somewhere in the back of the subscriber’s mind, a small voice is asking, wait, is this the same person?

Mistake five: an unclear CTA.

Three buttons, three different phrases, all pointing at the same place, plus a link list at the bottom just in case.

It feels generous, but it’s actually just a lot of pressure with no clear ask. It can also feel like homework instead of helpful. If you are launching a new product line? Totally fine to link to several of the products. That is more like a collection of things. Telling someone to take 15 actions that all are shouting at the same volume is a bit much.

These are just a few examples of the exact playbook for getting dumped. When it comes to email, design isn’t just about visuals. The ability to scan quickly and then go deeper and actually read the words you’ve spent time on is important.

We can spend so much time on sales pages and instagram and every other front door to our world. But what about the people who have already raised their hands to read your words? Let’s not leave them hanging. They deserve the same 5 star treatment!

It was a giant outline of everything I wanted to bring into the world, across my own business and my clients’ businesses. Every morning I’d open it and pick whatever I felt called to work on that day. No outline of what it would actually take to bring any one thing into the world. No line connecting today’s task to a specific, tangible goal. Just a list, and a feeling, and me deciding in real time what earned my attention.

It worked, sort of. I got things done. But I couldn’t have told you which of those things actually moved the needle, because nothing was laddered up to anything. It’s like I forgot everything I learned in corporate america that works. Don’t worry, I remembered.

Six months later, I don’t have a task list. I have a roadmap. And the shift between the two is the thing I want to walk you through.

Where this actually comes from

Before Be Good Guide, I spent 23 years in tech and product, and a good chunk of that was inside the Agile process, which came out of engineering and eventually took over how a lot of the companies I worked at executed plans.

Agile is a philosophy more than a rigid method. It prioritizes people and collaboration over rigid tools, and responding to change over following a fixed plan set in January and defended through December.

In practice, that meant breaking down a big goal from the C-suite into short, defined cycles of work instead of trying to plan the whole thing up front. What I watched it do well, across multiple companies and multiple teams, was give leadership visibility into progress as a byproduct of the work itself, not as extra reporting bolted on top. And it wasn’t built around a deadline you worked backward from. It was built around continuous progress that laddered up to something bigger, at a pace that respected what the team could actually hold.

Here’s why that matters if you run your own business. In a company, that structure exists because there are departments. There’s a person for bringing in new business and a person for delivery and a person watching the roadmap. When you’re a solopreneur, you’re every one of those departments. Some days you’re in the weeds: sending emails, running client sessions, launching the thing. Other days you need to be above it, looking at where you’re actually headed.

Most entrepreneurs never built the structure that lets you move between those two modes on purpose. So you just stay in the weeds, because the weeds are loud and the roadmap is quiet.

The three layers: goal, milestone, task

This is the ladder I use now, and I think most people are missing the middle rung.

Goals need to be measurable, and I give mine a long runway. Mine are set for the full year, and I don’t revisit them until the following Q3. This let’s me focus on what I’ve committed to and then also gives me a quarter ahead to decide on the next years goals (yearly planning happens in the Q3 before). I also keep the number of goals small on purpose. I track a main revenue goal, a scale goal (email list and Substack subscribers, free and paid), an authority goal (things like podcast guesting or speaking), and an operations goal focused on what I’m optimizing or automating. That last one isn’t a quantity metric. It’s closer to done or not done. I also make sure to have 1-2 Joy goals for myself (take 2 trips, attend a retreat, etc). Those are what make the other goals worth it.

Milestones are what most people would call projects, and they’re the layer almost everyone skips straight past. If you’re sitting down and asking “what could I build,” you’re not yet asking how it ladders up to where you’re going. Say the goal is $30K. The milestone underneath it isn’t “launch something new.” It could just as easily be “land 10 clients on an existing service, from your existing audience.” That’s a milestone: specific, and completable.

Tasks are what it actually takes to hit the milestone. Under “land 10 clients on an existing service,” a task might be identifying which past clients are warm leads for that service again. Another task is drafting the email. Another is sending it. Nothing revolutionary on its own, but every task is now attached to something. That’s the whole shift. You stop piling on to-dos and start asking what each one is actually contributing to.

Running the retrospective before you build the roadmap

Before I help a client build their roadmap, we run a Stop, Start, Continue retro first. I did this with one of my monthly advisory clients two weeks ago, using a template I already had built in Canva, and it’s a fast way to look back at the last six months honestly, not just at what’s working externally, but inside the team itself.

We split the board into three: what to stop, what to start, what to continue. What surfaced for me, watching this business from the outside, was a version of the exact thing I’d lived myself in January. One note I wrote during the retro: working on tasks that aren’t attached to a goal. Another: the business was mostly focusing on foundations, and it was time to shift into growth mode. Different business, same root cause. Motion without a ladder underneath it.

That’s the value of the retro. It surfaces where you’re moving for the sake of moving, before you build the next six months on top of it.

Two weeks out, the roadmap for that client is now built in structure, and we’re filling in the tasks as we go.

Start small

You don’t need a polished system to try this. Grab three columns, real or digital, and write down what to stop, start, and continue looking back on your last six months. Then take one goal you’re already circling and ask what the milestone underneath it actually is, not what you could build, but what specific, completable thing would move you toward it. Break that milestone into three tasks you could do this week.

I haven’t built the roadmap out as a template yet. I want to know what would actually be useful before I do.

I built a nighttime ritual I actually do now. One prize wheel, one spin, whatever it lands on. The decision gets made before my brain is too far gone to make it. That’s it.

But let’s back up a but to how I got here. I‘ve been on a longer journey of learning to actually listen to my body, and one of the things that accelerated it was doing DNA testing with . What came back was specific enough to change how I think about my whole day: when my cortisol spikes, it stays high. And that directly impacts my sleep.

The end of my day, unbeknownst to me until now, is a cortisol management situation. What I do, watch, engage with, and think about in those last few hours before sleep either supports that or works against it. So rude, right?

My mornings are dialed. I’ve built a routine I actually love, one I revisit every six months so it stays fresh, and I feel genuinely supported by how I ease into the day. At night? That’s a different story.

The evening is the next frontier.

By 4pm, my brain is done. I wake up around six, I go to sleep around ten, which means 4pm is already two thirds of the way through my actual day. My nervous system has done the math even when I haven’t. And asking my 4pm brain to choose a restorative evening activity out of the blue is asking it to do the thing it is least equipped to do at that moment. So it reaches for whatever has the lowest entry barrier.

For a long time, the default at the end of the day has been putting on TV and numbing. Currently in rotation: Love Island. It’s literally on like every day so it’s reliable as a default. And I’m watching, and I’m scrolling, and I just feel like I’m numbing.

The insight that finally cracked it came from a call with my somatic movement coach Sam (she’s incredible and trains you on how to process the stored emotions in your body in a way that feels safe and supportive).

We’ve been doing movement and visualization work and this week, we landed on the topic of rest. On my relationship with it. On where I learned that rest needed to be earned.

My mom self-abandoned to host every holiday. The days of prep, the hours in the kitchen with no help while everyone else enjoys themselves. Started as just Easter, became every single one. My dad, an entrepreneur and the bread winner, also built the house we grew up in with his own hands. Weekends were projects. The message underneath all of it was: there is always more to be done.

The belief I’m still untangling is “if I stop moving, I’ll fall behind.” And when I’m in a rest cycle, I feel guilty about it, which creates pressure, which creates freeze, which means I have to dig myself out before I can actually rest. By that point I’m just putting on Love Island and calling it a night.

I already knew this. It’s not NEW information. The sauna is where I feel it most clearly. No book, no phone, just existing. I feel amazing after. I don’t struggle to know what rest feels like. The struggle is trying to decide how to do it when my brain is already mush.

Think about when someone is grieving…you don’t ask them what they need. The part of the brain that generates preferences and makes choices is offline. The most useful thing you can do is show up with a plan and remove the burden of deciding. You bring the soup. You make the call. You take the choice off their plate entirely.

My brain at 4pm is in a similar place. Rest requires a micro-decision: pick the thing, get up, do the thing. Scrolling requires zero decisions. That is where the whole evening goes.

Here’s how I solved this in the most fun way I could think of

So I happened to have this prize wheel from a conference event I did. Obviously. Who doesn’t have a prize wheel?

When I mentioned my plan in my HOT GIRL FNDR group chat, the ideas came in immediately. My friends sent ritual after ritual. I now have a full backlog I’m still sorting through. The crowd-sourcing happened so naturally because the premise was specific enough to make it easy to contribute and I happen to be surrounded by the most brilliant baddies who make me feel super supported.

So there it was. I had everything I needed. I put rituals on the wedges. One spin, that’s the protocol. Whatever it lands on, I do it. I can spin again and stack if I want more. I can swap wedges whenever the novelty wears off. I don’t have to generate the idea from scratch when I’m already running on empty.

The wheel is working. The gap between knowing what would help and actually doing it is almost never willpower. It’s friction. And friction at the end of the day, when your brain has already closed up shop, compounds everything that didn’t get processed.

The wheel works because it removes the decision. But what goes on the wheel matters too. A list of rituals that don’t actually fit how you’re wired will still sit there unused, just in a different format.

Two inputs: your Moon sign and the time your brain actually closes up shop (likely hours before you may think it’s maxed out).

Before we dive into each of these, let’s talk format.

4. Make your own set of ritual cards (index cards would work well) and pull one each night

Finding Your Actual Depletion Window

I learned this from my first design job. My boss asked me to track my day for three days in a row in my notes app. Not my tasks → my energy. When did I feel most creative and dialed in? When was I better suited for admin or busy work? When was my brain actually done?

The instructions were simple: every hour or so, open your notes app and log how you feel. Creative, focused, foggy, wired, flat, restless. Just the honest word for the state you’re actually in. Do it for three days and look at the pattern.

Most people are shocked by what comes back. The window where you’re genuinely sharp is narrower than you think. And the window where your brain has quietly clocked out, often while you’re still sitting at your desk telling yourself “just one more thing,” starts earlier than you’d expect.

For me, clock out is usually 3pm → 4pm at the latest. That used to feel like a personal failing. Now it’s just data. My wheel is built around the reality of that window, not the version of myself I wish existed at 7pm.

Track your days. Find your number. Build your wheel around that time, not around when you think you should be done.

Your Moon sign tells you what kind of nourishment your nervous system is actually asking for.

Your Moon sign is in your natal chart, which you can pull for free at astro.com using your birth date, time, and location. Locate the Moon symbol and look at the zodiac sign assigned to it.

Once you have it, here’s how to read it for ritual building:

🔥 Fire Moons (Aries, Leo, Sagittarius)

Your nervous system restores through movement, spark, and doing something that feels alive. Passive rest often makes you more restless. Good wedges: a short walk, stretching with music that actually moves you, something creative with your hands, switching your environment entirely, candles or fire gazing, anything that feels like a small adventure even if you don’t leave the house.

🌿 Earth Moons (Taurus, Virgo, Capricorn)

Your nervous system restores through the physical and the sensory. You need to come back into your body and feel something grounding beneath you. Good wedges: a bath with salt and candles, skincare with slow intention, a magnesium drink, tidying one small space, something that smells good, anything that makes your body feel tended to.

💨 Air Moons (Gemini, Libra, Aquarius)

Your nervous system restores through a shift in mental texture, something that engages your mind differently than work did. Good wedges: a show that sparks genuine delight, a chapter of something you’re reading for pleasure, a card pull with journaling, binaural beats with a brain dump, a voice note to a friend, anything that moves your thinking somewhere it wasn’t.

🌊 Water Moons (Cancer, Scorpio, Pisces)

Your nervous system restores through immersion, depth, and emotional release. You’re wired to go somewhere internally, and the rituals that work best give you a container for that. Good wedges: a bath with a bath bomb or bubbles, anything with water, creative work that absorbs you fully like embroidery or drawing or anything with your hands that requires no outcome, a channeled voice note to yourself, card pull and free verse, fire scrying, crystals, self-reiki, anything that feels like going deeper rather than winding down.

My Moon is in Scorpio in the fifth house, which is why my most effective wedges involve water, creation, or something that pulls me into a feeling rather than away from one. Legs up the wall works for me because it feels like an action even in stillness. Fire gazing works because Scorpio is a water sign ruled by Mars, so there’s fire underneath all of it. Embroidery works because it absorbs me completely and produces something, which my fifth house needs.

The Full Backlog

These came from my friends (1 water moon and 1 earth moon) after I posted about the wheel. I’ve added notes where I have them. All of these are real, all of them have been suggested by actual humans, and some of them are going on my wheel as I test them.

• Soak in a bath with candles, salt, and bubbles

Build your wheel from whatever resonates for your Moon sign and your actual depletion window. The goal is a list where every option would genuinely restore you, so whatever it lands on, you win.

In Part One, we built your 00 Social Kit: a color palette screenshot, brand patterns, and stickers and badges, all living in a single folder on your phone. You snap them into Instagram in under thirty seconds and everything looks unmistakably yours.

Here’s what I didn’t tell you in Part One: the same kit works everywhere else in your business too.

Your newsletter. Your client docs. Your Substack posts. Every time someone moves through one of those spaces and it doesn’t look like the brand they just saw on Instagram, there’s a tiny moment of disconnect. They probably can’t name it. But it registers.

The fix is the same one we used in Part One: a few small visual choices, applied consistently, everywhere. You already have most of the assets. We’re going to add one more and then use it everywhere.

First: Add a Custom Breaker to Your Kit

…like the neon checkered breaker you see throughout this post!

In Part One, we talked about stickers, badges, and branded artifacts → the custom graphics with transparent backgrounds that you layer into your content as a personal stamp.

I want to add one more thing to that category: a custom section breaker.

You know the horizontal rule. That thin grey line that drops between sections in a doc, an email, a Substack post. It’s functional. It’s also completely generic. It does nothing for your brand. Let me illustrate this.

A custom breaker swaps that line for something pulled from your visual world. A repeating pattern. A checkered element. A simple graphic that uses your brand colors and echoes the patterns already in your kit. It’s thin enough to not interrupt the reading flow but distinctive enough that someone who’s seen your Instagram immediately recognizes it.

How to build yours in Canva:

1. Open a new Canva design. Set the dimensions to 728px wide × 40px tall. (This is a wide, thin strip — the proportions that work across email, docs, and web posts.)

2. Look at the patterns already in your 00 Social Kit. What’s the repeating element? A checkerboard? A dot grid? A stripe? An Image? Pull that same motif into this canvas. You’re not designing something new. You’re shrinking an existing pattern element down into a horizontal strip.

3. Apply your brand colors. Keep it to one or two. The breaker should feel like a quiet nod to your brand, not a shout.

4. Export as PNG with transparent background.

5. Add it to your 00 Social Kit folder. Label it something obvious — “breaker” or “divider” — so you can find it fast.

That’s it. One graphic. Now let’s use it.

Platform One: Notion

Notion doesn’t have a brand kit feature, but it has just enough flexibility to feel unmistakably yours — especially on any page you’re sharing with clients.

Step 1: Set your cover image. Every Notion page has a cover. In Canva, create a wide-format image (1500 × 600px) in your primary brand color with your logo or publication name in your brand font. Export it. This becomes the cover on every client-facing page — welcome docs, onboarding hubs, resource libraries. One template, duplicated every time.

Step 2: Use callout blocks in your brand color AND to create meaning. Notion’s callout blocks default to grey. Click into the color selector and switch to the closest match to your secondary brand color. Use these for anything you want a client to see first — next steps, key reminders, important context. Choose different colors based on meaning. It becomes a visual language they learn to read without thinking about it. If you’re feeling spicy, add an emoji!

Step 3: Swap the horizontal rule for your breaker. Instead of using Notion’s default divider line between sections, add an image block and upload your custom breaker PNG. Set it to full width. Ten seconds. It makes a shared Notion page look like it came from the same world as your Instagram and your emails.

Step 4: Save a master template. Build one Notion page with all of this already in place → branded cover, callout color, breaker dividers and duplicate it every time. You do the setup once. Every page after that takes thirty seconds.

Platform Two: Flodesk

Flodesk was designed to be beautiful without much effort. The work here is mostly about locking in your choices once so you’re not rebuilding from scratch every send.

Step 1: Set your brand colors and fonts. Go to Brand settings and input your exact hex codes. This controls button colors, heading colors, and link colors across every email you send. While you’re there, set your fonts. Flodesk supports Google Fonts — match your choices as closely as possible to what you’re using everywhere else. Do this once. It applies everywhere. For body copy, choose a Google Font that’s similar and then for the layouts that support custom font, make sure yours is loaded into your brand kit.

Step 2: Build your branded modules. This is where Flodesk’s email builder earns its keep. Inside any email, you can build individual content blocks → a header with your background image, a section divider using your custom breaker PNG, a sign-off block with your logo and signature. Build each of these once, styled exactly to your brand. Choose different backgrounds to use in the modules. Some will have to be a solid color, but some allow background images that you can use textures and images. Play with pulling different brand colors into textures. Here I have a bulletin board texture in two different colors.

Step 3: Save them as Favorites. Here’s the move. Once a module looks right, hover over it and save it to your Favorites. This is Flodesk’s version of your 00 Social Kit folder — a library of pre-built, pre-branded blocks that live inside the platform and snap into any email you’re building.

Your Favorites library should include at minimum:

• A branded header block with your background image or pattern

• Your custom breaker as a standalone divider block

• A few of your favorite layouts loaded in with your fonts, colors and background images

Step 4: Build every email from Favorites. From here, you’re not designing emails. You’re assembling them. Drop in your header Favorite, write your content, drop in your breaker Favorite between sections, close with your sign-off Favorite. Every email looks like it came from the same place because it did → the same branded modules, every time.

Here is what a full brand extension kit looks like for Flodesk (I made this for a client of mine and if you are interested in outsourcing this to me, leave a comment!)

This is the same logic as the 00 Social Kit folder, just native to Flodesk. Build the pieces once. Snap them in forever.

Platform Three: Substack

Substack gives you fewer design controls than the other two, which is fine. The visual consistency here comes from a handful of small choices, made once, applied every time.

Step 1: Set your publication color and cover. In Substack’s appearance settings, add your primary brand hex as the publication color → this controls buttons and links across your publication. For the cover, create a simple branded image in Canva: your publication name in your brand font on a solid brand color background. One image. Set it and leave it.

Step 2: Swap the section break for your breaker. When you want to break between sections in a post, insert your custom breaker image inline. In the Substack editor, add a new template, click the image insert button, upload your PNG, and it drops in at full width. Use it in the same position across all of your posts.

Step 3: Create a consistent post structure. This is less about visuals and more about format. Decide on a structure for each series (how your intro opens, where the breaker falls, how you close) and stick to it. Readers start to recognize the shape of a post before they’ve read a word. That’s brand consistency working at the level of writing, not just design.

What You’ve Just Built

Your 00 Social Kit now has a custom breaker in it. That one graphic is sitting in your Notion docs, your Flodesk emails, and your Substack posts → replacing the generic grey line with something pulled directly from your visual world.

Someone who finds you on Instagram, opens your welcome email, clicks into a shared Notion doc, and reads your latest Substack is moving through one coherent world. Not four different businesses that happen to share a name.

That’s the Brand and Snap. Built once. Extended everywhere.

Start with one platform…whichever one you’re in the most right now. Get the breaker in there. Then the next.

There’s a version of building a business that looks really good from the outside.

You’re booking clients. You’re showing up online. You have a website, an offer, probably a Notion workspace with a color-coded kanban board. Things are moving.

And yet—something still feels slightly off. Not broken (don’t be dramatic!) Just… misaligned. Like you’re playing a role you designed for yourself a year ago, and nobody told you it was okay to update the script.

I see this come up in a few different flavors:

• You’re growing, but the growth feels scattered. You’re saying yes to things that don’t quite fit, and you can feel the drift but can’t name it.

• You’re questioning whether your work still reflects who you actually are now, not who you were when you started.

• You’re newer to this and trying to build something intentional from the beginning, so you don’t end up in a version of your business that you have to burn down in two months…or two years.

The common thread across all three: you haven’t yet named your standards.

Not your values (we’ve all written those). Not your mission statement (useless, I’ve covered this). I mean the actual operating principles that dictate how you show up, how your work feels to the people in it, and what you will and won’t do regardless of the pressure or the payday.

Your Embodied Standards of Working are the difference between a business that runs you and one you actually want to be inside.

They’re what you return to when someone makes a request that feels slightly off and you can’t articulate why. They’re what keeps your brand coherent across offers, content, and client experiences. They’re the gut-check you’ve been doing instinctively but have never written down.

Once you name them, they become a compass. And decisions get a lot cleaner.

Inside, I’ll walk you through how to surface your standards, write them clearly, and make them specific enough to actually use when a decision gets hard.

Time: 30 minutes

Level: Beginner. No prior strategy work needed.

Materials: Pen and paper

This exercise works across the board whether you’re brand new, mid-pivot, or just doing an audit on something that’s felt fuzzy. It’s especially useful if you’re onboarding clients, building a new offer, or writing content and realizing you can’t quite articulate what makes your approach different.

Step 1: Reflect on Your Role

Think about feedback you’ve received, patterns in your client relationships, the kinds of things people say when they refer you. Pull from testimonials, DMs, offhand comments in sessions. You’re looking for the through-line.

Examples: “You make things feel doable.” “You always see my unique path.” “You blend strategy and soul in a way I haven’t found anywhere else.”

Write down 3 to 5 reflections or themes. If you’ve been in business for a while, these should come pretty easily. If you’re newer, you can use what you intend for people to say.

Step 2: Identify Your Commitments

These are the things you do automatically, the way you communicate, the standards you hold yourself to without thinking. Some of them are explicit promises you make in your offer. Others are just how you operate.

Examples: I’ll always give you a clear next step. I’ll meet you where you are. I’ll push back if something doesn’t seem aligned with what you actually want.

List 3 to 5 commitments. These don’t need to be polished yet.

Step 3: Draft Your Standards

I [action or commitment] because [reason why this matters].

Example:

I give practical and tangible next steps because leaving inspired is great, but real change happens when you know exactly what to do next.

Write 3 to 5 standards using this format. Don’t overthink the wording yet. You’re going for clarity and honesty, not a tagline.

Step 4: Add Context and Color

This is where the standard stops being abstract and starts being real. What does this look like in practice? What’s a specific example of it in action? Why does it matter to you personally?

Example: “I meet you where you are” might become: We are all on different journeys, and my services reflect that. Whether you need hands-on guidance or light-touch support, I adapt so that the work feels right for you, not forced. I’ve never believed in a one-size-fits-all approach, and I’m not going to start now.

Flesh out each standard until it sounds like you, not like a brand guide.

Step 5: Reflect and Refine

That’s the test. Read each one and ask: could I actually use this as a filter? If it’s too vague or too tied to a specific offer, simplify it. Your standards should be durable, meaning they should hold up across everything you build, not just what you’re selling right now.

If something doesn’t pass that test, revise it until it does.

Once you’ve completed your standards, they don’t need to live in a drawer. Here’s where they actually belong:

• In your brand guide or internal Notion workspace as a decision-making reference

• On your website’s about or philosophy page, so the right clients can see themselves in how you work

• In your client onboarding materials, so expectations are set before anyone even begins

• As a gut-check every time you’re building something new: does this offer, this post, this collab reflect my standards?

The goal is not to frame these and forget them. The goal is to use them. Standards you never reference aren’t standards. They’re just good intentions with nice formatting.

I’ve been spending more time inside Substack lately, both writing and helping clients think about how they want their content to feel, not just what they want to say.

And one thing I keep coming back to is this:

Most people are treating Substack like a blank Google Doc.
Which works… but it’s also leaving a lot on the table.

Because what Substack is quietly becoming is much closer to a publishing platform, not just a writing tool.

And coming from my background in media and product, where I was designing platforms used by editors at places like Cosmopolitan, Marie Claire, Esquire, Car and Driver, Road & Track, and dozens of other global titles, I can tell you:

The way content is structured, designed, and experienced matters just as much as what’s being said.

Back then, we were experimenting with multimedia, polls, and different content formats at scale, and it was honestly way harder to implement back then.

Now, a lot of those same ideas are available to you inside Substack… in a much simpler way.

So I wanted to share a few features I’m personally using right now that are making my posts feel more intentional without adding a ton of extra work.

1. Templates (this is the one most people are underusing)

Which is probably because it’s brand new! The new template feature is probably the most immediately useful update if you’re publishing regularly.

Instead of rebuilding the same structure every time, you can create a repeatable layout that already includes your core elements.

For me, that looks like:

• my divider graphics (the horizontal lines that match my branding)

• my signature sign-off

• a copyright section at the bottom of each post

• and any recurring formatting I want to keep consistent

Before, I was dragging these in manually every single time, which is not hard, but it’s enough friction that it either slows you down or gets skipped when you’re in a rush.

Now, it’s just… there.

It sounds small, but this is the kind of thing that:

• keeps your posts visually consistent

• reinforces your brand without extra effort

• and makes publishing feel lighter instead of repetitive

If you’re posting regularly, this is one of the easiest upgrades you can make.

2. Bringing your brand into the post itself

This is something I don’t see talked about enough. Your Substack doesn’t have to feel like a plain document.

You can decide:

• does this feel like a diary entry?

• does this feel like a magazine article?

• does this feel like a coffee table book?

• does this feel like a private voice note with visuals?

The way you use:

• dividers

• spacing

• images

• formatting

• tone

…all contributes to that.

For me, adding simple branded dividers completely changed how my posts feel. It gives structure, creates visual pauses, and makes the whole thing feel more considered.

And because I’ve now built that into a template, I don’t have to think about it every time.

3. Multimedia (this is where things are going)

I really believe multimedia is the future of Substack. Not in a “you need to turn every post into a full production” way, but in a “not everything needs to be paragraphs” way.

Some of the things I’ve been leaning into:

• adding audio notes inside longer posts

• thinking about where a visual would communicate something faster than text

• breaking up dense sections with something more interactive or sensory

When you’re writing longer pieces, audio in particular is powerful.

It gives people another way to engage.
It adds tone and nuance.
It makes the content feel more personal.

And again, this is something that used to be much harder to implement in traditional publishing environments.

Now it’s just… available.

The bigger shift

All of this really comes back to one question:

What do you want it to feel like to be inside your content?

Not just:

• what do you want to say

• or how often do you want to post

But:

• what is the experience of reading, listening, or engaging with you?

Because that’s the part people remember.

And the good news is, you don’t need a huge team or complicated tech stack to create that anymore. A few thoughtful decisions, a simple template, and a little intention around format go a long way.

Make it feel as good behind the scenes as it looks from the outside.

Feeling pulled in ten directions at once? This is the simplest business audit you will actually finish. Three questions that tell you exactly where to put your energy next. Let’s dive in.

There are seasons where life and business don’t feel wrong, exactly. They just feel cluttered. Too many tabs open, too many moving pieces, too many “good ideas” competing for your attention. Sometimes it’s not even that anything is dramatically broken. It’s just that everything has gotten a little too loud, a little too heavy, or a little too far away from what actually matters.

When I get into one of those seasons, I’ve noticed that my first instinct is usually to try to optimize my way out of it. I’ll want a better plan, a cleaner system, a more motivating routine, or some magical burst of clarity that makes all the right priorities obvious. But most of the time, that’s not actually what I need.

Usually, what I need is a way to sort signal from noise.

That’s why I come back to this exercise over and over again. It’s simple, but it cuts through the chaos fast. I use versions of this when I’m in a pivot, after a launch, when my content feels disconnected, when my offers need pruning, or honestly any time I can feel that I’m spending energy in too many directions at once.

What makes this tool work is that it doesn’t ask you to reinvent your whole life or business. It just helps you get honest. What’s no longer working? What actually wants your attention now? And what’s already supporting you that you need to stop overlooking?

Because a lot of the time, overwhelm is not a motivation problem. It’s not even always a capacity problem. It’s a sorting problem. You haven’t yet separated what’s outdated, what’s distracting, what’s still valuable, and what needs to begin. So everything starts to feel equally urgent, equally noisy, and equally unfinished.

And when everything feels equally loud, it becomes almost impossible to make clean decisions.

That’s where this audit comes in. It gives your brain and your nervous system a structure for seeing clearly again. Not in a dramatic “burn it all down” kind of way, but in a grounded, useful, “okay, this is what’s actually happening here” kind of way.

If I were only allowed to make three decisions right now, what in my life or business would I stop, start, and continue?

Don’t overthink it. Just write the first thing that comes up under each one. You’ll usually know more quickly than you think. That’s often the interesting part. The truth tends to arrive pretty fast once you stop asking it to compete with all the noise.

This is one of my favorite tools for moments like the beginning or end of a month, a post-launch cleanup, an offer pivot, a season of burnout prevention, or just one of those weird in-between periods where your calendar is full but your progress feels fuzzy. It’s especially helpful when you know something needs to shift, but you can’t yet tell whether the answer is to let something go, build something new, or simply recommit to what’s already working.

Most small business owners think brand consistency requires hours in design software. It doesn’t. When I was at Hearst Magazines (in my former corporate life in product design), we were acquiring magazines so rapidly that our design team couldn’t keep up with redesigns.

Maybe that’s because each site was built with it’s own distinct functionality and took anywhere from 1 to 3 (yes THREE) years to complete. I remember sleeping on the carpet of the 19th floor of Hearst Tower crossing the finish line of an almost 2 year redesign of Harper’s Bazaar. Meanwhile, we were acquiring titles and moving from managing 10 national titles to 50 titles globally. YIKES.

So I pitched the president of Hearst Digital (circa 2012?) on a radical idea: redesign a full website in three days.

How? Make the underlying functionality the same across everything and change just the visual layer based on the brand.

It worked…and they still use this system today!

Here’s why: What actually carries your brand forward are the smaller choices. Your colors. Your fonts. Your imagery.

Instagram (or whatever platform you are on) gives everyone the same functionality so it’s up to you to do the little things that keep your brand consistent.

You can build a portable design system that lives right on your phone. Once you have it, every piece of content you create will feel unmistakably yours.

Introducing: The Social Kit

It's a single folder on your phone. Inside it are just a few simple assets that let you infuse your brand into anything you post, whether you're creating from scratch or resharing someone else's content. And you can set the whole thing up in under thirty minutes. Here’s how:

Building Your 00 Social Kit

Start by creating a folder on your phone called 00 Social Kit. The double zeros aren’t random. They force the folder to load alphabetically at the very top of your photo collections so you’re never digging around when you’re mid-post.

Inside that folder, you’ll keep three things.

1. Your Color Palette Screenshot

This is a screenshot of your brand colors (bonus points for hex codes and all). When you’re creating a story or a reel inside Instagram, you’ll use this to eyedrop your exact brand colors for backgrounds, text, and overlays. No guessing. No “that’s close enough.” Your actual colors, every time.

2. Your Patterns and Brand Images

These are images that feel like your brand. They could be patterns you created in Canva, textures you love, or photos that live in your colour palette. I keep two different sets because my brands have different vibes. Be Good Guide is pattern-heavy. Soulward Summit is photo-based. Neither is wrong. The point is that when you drop one of these into the background of a story or a reel, it instantly feels like you.

3. Your Stickers, Badges and Branded Artifacts

These are the fun ones. Custom graphics with transparent backgrounds that you can layer into your content using Instagram’s text and sticker features. Think of them as your personal stamp. A little logo badge, a signature element, something that says “this came from me” without you having to say a word.

Where to source your components

You don’t need to create everything from scratch. Start with open source imagery from Vault Stock or Death to Stock or Unsplash (or whatever your favorite vendor is). Build stickers and badges in Canva. Or work with a brand designer to create custom pieces. The point is you’ve got a folder of assets that feel like you. Just the color palette goes a long way!

Ok now that you’ve got those things saved, let’s use them!

How to Use Your Social Kit in Instagram

1. Color Palette: Match Your Brand Colors Instantly

1. Add an image sticker and open your 00 Social Kit folder.

2. Pull up your color palette screenshot and add it to your canvas.

3. When adding text to a story or reel, tap the color selector and look for the eyedropper icon.

4. Use the eyedropper to sample your exact brand color. No guessing. No “close enough.” Your actual color, every time.

5. Once you’re done, delete the palette image.

2. Patterns: Create a Branded Background in Seconds

• Add an image sticker and open your 00 Social Kit folder.

• Choose your pattern or brand image and add it to your canvas.

• Pinch to scale it up to cover the background.

• Click and hold the pattern, then pull down to layer it underneath your text or reposted content.

3. Stickers and Badges: Layer Your Brand Artifacts

• Open your Photos app and navigate to your 00 Social Kit folder.

• Select your sticker or badge.

• Tap the share button on the bottom left.

• Scroll down and tap “Copy Photo.”

• Open Instagram Stories and tap the text tool.

• Click and hold, then tap “Paste.”

• Your branded sticker will appear on your canvas. Scale and position as needed.

That's it. That's the whole system.

Once your 00 Social Kit is built, using it becomes second nature. You're not spending thirty minutes designing. You're spending thirty seconds grabbing what you need and layering it in. Your brand does the work for you.

You don't need to start perfect. Start with five pattern backgrounds and one badge. Use them. Get comfortable with the process. Then add to your kit as you create new assets or discover imagery that feels right. Your kit grows with your brand.

The point is to start now. Build it today. Use it tomorrow. And watch how much more intentional your feed becomes.
